Privacy Policy

This English version is a reference translation. In case of any inconsistency, the Vietnamese version prevails.

VoIndex values the privacy and information security of Users. This Privacy Policy ("Policy") explains how VoIndex collects, uses, stores, protects and shares User information when accessing the website voindex.com or using the URL Index Service.

This Policy complies with the Law on Personal Data Protection No. 91/2025/QH15, its implementing Decree No. 356/2025/ND-CP, the 2018 Law on Cybersecurity, the Law on E-commerce No. 122/2025/QH15 and Decree No. 248/2026/ND-CP, the 2023 Law on Protection of Consumers' Rights, and other related Vietnamese legal regulations.

The personal data controller and processor is VOINDEX, with full identification and contact details in Section 18 — Contact Information.

By accessing voindex.com or using the service, the User confirms they have read and understood this Privacy Policy.

This Policy applies to: visitors to the website voindex.com (including those who do not register an account); people who register and maintain a member account; Customers who top up balance, place orders and use the URL Index Service; and people who contact VoIndex support through any channel.

3.1. Account information

Username, email address, password (encrypted/hashed, never stored as plain text), and login history including time and IP address.

3.2. Contact information

Email, Telegram handle or other contact information voluntarily provided by the User.

3.3. Transaction information

Order history, account balance, top-up history, payment history and service processing status.

3.4. URL information

The list of URLs the Customer submits for indexing, submission time, processing status and related technical notes.

3.5. Technical information

IP address, browser type and version, device and operating system, cookies and session data, access logs, and website usage behavior.

3.6. Support content

The content of emails, Telegram messages, support tickets, or any other correspondence with VoIndex support.

The VoIndex service is priced in Vietnamese Dong (VND). VoIndex stores the transaction information necessary for reconciliation, order processing, complaint resolution and compliance with legal obligations.

VoIndex does not itself store bank card details, full account numbers or sensitive payment authentication information. Payment processing is carried out through authorized payment gateways/channels, and sensitive information is handled under that provider's own privacy policy.

VoIndex does not proactively ask Users to provide sensitive personal data as defined in the Law on Personal Data Protection No. 91/2025/QH15: political or religious views, health status, detailed financial information, biometric data and other sensitive data.

Users should not provide sensitive data unless truly necessary and explicitly requested by VoIndex. If such data is inadvertently provided, VoIndex will apply appropriate protective measures and limit its use to the minimum necessary.

VoIndex uses the information collected for the following purposes, not exceeding the scope necessary:

• Creating, authenticating and managing member accounts.
• Processing URL Index orders as requested by the Customer.
• Managing balance, transaction history and service status.
• Technical support, customer care and complaint handling.
• Preventing fraud, spam, system abuse and detecting legal violations.
• Improving the quality of the website and service based on behavioral analysis.
• Sending system notifications, transaction notifications and service notices.
• Complying with requirements of Vietnamese law or competent authorities.

VoIndex does not use information for third-party commercial advertising purposes without the User's consent.

Personal data is processed on one or more legal bases under the Law on Personal Data Protection No. 91/2025/QH15:

• User consent — given by registering, using the service or accepting the Terms and this Policy. Advertising & measurement cookies (Section 10) use separate consent, off by default and distinct from accepting the Terms.
• Performance of a contract/service — processing necessary for VoIndex to provide the service under the agreement.
• Compliance with a legal obligation under Vietnamese law.
• Protection of legitimate rights and interests of VoIndex, Users and third parties: fraud prevention, system security, dispute resolution.

10.1. Necessary cookies — always on

Required for the website to function; no consent needed and cannot be turned off:

• Login/session authentication cookies — maintain login state.
• Security cookies — protect the account and prevent forgery (CSRF, Cloudflare Turnstile anti-bot).
• Consent-preference cookie — remembers whether you have turned advertising cookies on/off below.
• The voindex_ft cookie (set by VoIndex) — records once which site brought you to VoIndex (domain, first page, utm parameters) and saves it to your account at sign-up so VoIndex can count internally which channels customers come from. Contains no identifier and is never shared with third parties.

10.2. Advertising & measurement cookies — off by default, requires consent

Only loaded when you click "Accept" on the cookie banner or enable them in Settings > Privacy:

• Meta Pixel — measures Facebook/Instagram advertising performance.
• OpenAI Ads Pixel — measures advertising performance shown via ChatGPT/OpenAI.
• The voindex_ad cookie (set by VoIndex) — temporarily stores the ad click code (e.g. fbclid, an OpenAI campaign code) in order to correctly attribute a registration/top-up order to the clicked ad.

When you consent, on account registration and top-up events, VoIndex may send Meta and OpenAI (servers located in the US — see Section 11): the email address one-way hashed with SHA-256 (never sent in plain text) and the order value, so these two platforms can measure ad performance. VoIndex does not use these cookies for any purpose other than VoIndex's own advertising measurement.

You may turn advertising & measurement cookies on/off at any time in Settings > Privacy; turning them off immediately removes the loaded pixels and does not affect your use of the service. You may also manage or delete any cookie through your browser settings, but disabling necessary cookies may affect website functionality.

VoIndex does not sell personal data, URL lists or order data of Customers. VoIndex only shares data with the processors below, to the extent necessary for operations:

• Vercel (US) — website hosting and storage of uploaded files.
• MongoDB database provider (cloud) — storage of account, order and transaction data.
• Resend, Brevo — sending transactional emails (verification, invoices, system notices).
• Zoho Mail — the mailbox receiving support requests by email.
• PayOS — processing Vietnamese bank transfer payments.
• PayPal — processing international payments (when enabled).
• Google — login authentication (Google Sign-In).
• Cloudflare Turnstile — preventing automated/bot access.
• Telegram — an internal channel that notifies administrators of new accounts (with the email) or events requiring action; a Customer support channel.
• RalfyIndex, SpeedyIndex — receiving the URL list the Customer submits to perform indexing/check indexing status (URLs only, no account information included).
• Meta, OpenAI (US) — only when the Customer consents to advertising & measurement cookies (Section 10); receiving a SHA-256-hashed email and order value to measure ad performance.

In addition, VoIndex may share information with legal, accounting or audit advisors to the extent necessary, or with competent state authorities when required by Vietnamese law.

Some of the processors in Section 11 host servers in the United States — specifically Vercel (hosting), Resend (email), and, where the Customer consents to advertising cookies, Meta and OpenAI. In these cases, the corresponding data (account data, hashed email, website content) is processed or stored outside the territory of Vietnam.

VoIndex applies appropriate safeguards for data transferred abroad, including selecting providers with a reputable security standard and carrying out the data transfer impact assessment obligations under the Law on Personal Data Protection No. 91/2025/QH15 and Decree No. 356/2025/ND-CP where applicable.

VoIndex retains personal data for as long as necessary to:

• Provide and maintain the service for active accounts.
• Keep transaction history, reconcile payments and handle complaints.
• Maintain system security and prevent fraud.
• Comply with retention obligations under Vietnamese law.

When data is no longer necessary, VoIndex may delete, anonymize or move it to restricted storage. Specific retention periods vary by data type and legal requirement.

URL lists and the indexing check results for each URL are kept for 30 days from job creation, then automatically deleted. Aggregate job figures (number of URLs, index rate, credit used) are still retained. URLs blocked by the system for violating the Terms of Service are kept in the violation log as evidence and are not subject to this 30-day limit.

An account is retained until the Customer deletes it in Settings or requests VoIndex to delete it. After an account is deleted, transaction/top-up records are still retained in anonymized form (ad codes removed, no longer linked to email/name) as accounting and tax records of the household business under applicable law.

VoIndex applies appropriate technical and organizational measures:

• Encrypting/hashing passwords (never stored as plain text).
• Internal access control — staff only access the data necessary for their role.
• Appropriate technical measures to protect systems and data.
• Monitoring system activity to detect security incidents.

However, no system can guarantee absolute security in the online environment. Users are responsible for proactively protecting their account as guided in Section 16.

Under the Law on Personal Data Protection No. 91/2025/QH15, Users have the following rights as data subjects:

• Right to be informed — about what data is collected and for what purpose it is processed.
• Right to consent/refuse data processing (except where the law permits processing without consent).
• Right to withdraw consent at any time, without affecting the lawfulness of processing already carried out.
• Right to access and request correction of personal data.
• Right to request deletion of data where permitted by law.
• Right to restrict processing of data to the extent permitted by law.
• Right to request provision of data as provided by law.
• Right to object to processing for advertising or direct marketing purposes.
• Right to complain, denounce or sue under Vietnamese law.
• Right to claim damages if data is processed unlawfully and causes harm.

To exercise the rights in Section 13, Users can act directly in Settings > Privacy:

• Download data — export profile, jobs, transactions and top-up/withdrawal records as JSON (right of access).
• Delete account (Account tab) — verified by a code sent by email (right to erasure).
• Advertising & measurement cookies — turn on/off to give or withdraw consent at any time.

When submitting a request, the User must provide sufficient identity-verification information: the registered account email and a clear description of the request. VoIndex has the right to request additional verification to protect the User's own interests and prevent unauthorized access.

VoIndex responds within the statutory time limits: acknowledging receipt within 2 business days; access/correction requests processed within 10–15 days; deletion requests processed within 20–30 days. These time limits may be extended for legitimate reasons, and VoIndex will clearly state the reason for any extension.

Users may withdraw consent to advertising & measurement cookies at any time in Settings > Privacy, or contact VoIndex using the information in Section 14 for other cases. Withdrawal does not affect the lawfulness of processing already carried out beforehand.

Users may delete their own account in Settings > Account (verified by a code sent by email). VoIndex will then delete the account, orders, URL lists and indexing check results. Some data must still be retained in anonymized form (ad codes removed, no longer linked to email/name) in order to:

• Comply with the accounting and tax obligations of the household business.
• Handle disputes that are pending or may arise.
• Reconcile transactions and support accounting checks.
• Prevent fraud and maintain system security.

Any remaining credit balance at the time of account deletion will be permanently lost and is not refunded; to receive a refund, the Customer must contact VoIndex before deleting the account (see the Terms of Service).

Users are fully responsible for the security of their account, including the registered email, password, access devices and login sessions.

VoIndex recommends:

• Using a strong password, not reused from other services.
• Not sharing login credentials with anyone.
• Logging out after use on public or untrusted devices.
• Enabling additional security features if provided by VoIndex.

If unauthorized access, loss of control, or unusual activity on an account is detected or suspected, the User must notify VoIndex immediately for timely assistance.

The VoIndex service is not directed at, and is not designed for use by, individuals under 18 years old without the consent or supervision of a parent, guardian or legal representative under Vietnamese law.

If VoIndex discovers it has inadvertently collected information from someone under 18 without valid consent, it will delete that information as soon as possible. A legal representative may contact VoIndex to request deletion of related information.

The website voindex.com may contain links to external websites or integrate third-party services (e.g. payment gateways, analytics tools). When you access these links or services, the third party's own privacy policy applies, not this Policy.

VoIndex does not control and is not responsible for the content, privacy policy or data-collection practices of third-party websites/services. Users should carefully read their privacy policy before providing personal information.

VoIndex has the right to update or amend this Policy at any time to reflect changes in the service, technology or legal regulations. The updated version is posted on voindex.com and takes effect immediately upon posting.

VoIndex will notify important changes via the registered email or a prominent notice on the website. Continued use of the service after the Policy is updated constitutes acceptance of the new version. Users should check this Privacy Policy periodically.
